Booking Terms
These terms and conditions govern your use of Ewaffe Adventure Tours' services and website. By booking with us, you agree to these terms in full.
1. Bookings & Payments
- A deposit of 30% is required to confirm your booking, unless otherwise specified
- Final payment is due 30 days before the start of your safari
- We accept bank transfers, credit cards (Visa, MasterCard), and mobile money payments
- Gorilla permits require full payment in advance as they are non-refundable and subject to availability
- Last-minute bookings (less than 30 days before departure) require full payment
- All prices are quoted in USD unless otherwise specified
- Prices are subject to change due to government fee increases, exchange rate fluctuations, or fuel surcharges
2. Cancellations & Refunds
- Cancellations 60+ days before departure: full refund minus administrative fees (5%)
- Cancellations 30-59 days before departure: 50% refund of total cost
- Cancellations less than 30 days before departure: no refund
- Gorilla permit fees are non-refundable once purchased
- No refunds for unused services, early departure, or late arrival
- Refunds will be processed within 30 business days
- Bank transfer fees for refunds are the responsibility of the client
3. Travel Insurance
We strongly recommend comprehensive travel insurance covering medical emergencies, trip cancellation, evacuation, and loss of personal belongings. Ewaffe Adventure Tours is not liable for medical expenses, evacuation costs, or losses due to travel disruptions. It is your responsibility to ensure your insurance covers adventure activities, high-altitude trekking, and wildlife encounters.
4. Health & Safety Requirements
- Yellow fever vaccination certificate is required for entry into Uganda
- Anti-malarial prophylaxis is strongly recommended
- Travelers must follow guide instructions during all wildlife encounters and activities
- Travelers assume responsibility for their health, safety, and fitness levels
- Please inform us of any medical conditions, disabilities, or dietary restrictions in advance
- Some activities may have age, weight, or health restrictions
- You are responsible for ensuring you meet all visa and entry requirements
5. Changes to Itineraries
We reserve the right to modify itineraries due to weather conditions, park regulations, safety concerns, road conditions, or unforeseen circumstances. Alternative arrangements of similar value will be made where possible. We are not responsible for additional costs incurred due to itinerary changes. While we make every effort to adhere to published itineraries, we cannot guarantee specific wildlife sightings or exact timing of activities.
6. Liability & Responsibility
- Ewaffe Adventure Tours is not liable for personal injury, loss, or damage to personal property except where caused by our proven negligence
- We act as agents for airlines, hotels, and other service providers and are not responsible for their actions, omissions, or failures
- Travelers are responsible for obtaining necessary travel documents (passports, visas, vaccination certificates)
- We reserve the right to refuse service to anyone for safety, health, or operational reasons
- Clients are responsible for any damage caused to vehicles, accommodation, or equipment during the safari
- Maximum liability for any claim is limited to the total amount paid for the safari
7. Force Majeure
We are not liable for failure to perform our obligations due to circumstances beyond our reasonable control including but not limited to: natural disasters, political unrest, acts of terrorism, epidemics, government travel advisories, border closures, strikes, or acts of God. In such cases, we will make reasonable efforts to provide alternative arrangements or issue credit for future travel, but refunds are not guaranteed.
8. Photography & Marketing
We may use photographs taken during tours for marketing purposes unless you specifically request otherwise in writing before your safari. By participating in our tours, you grant Ewaffe Adventure Tours permission to use images in which you appear for promotional materials, social media, and our website.
9. Complaints & Disputes
Any complaints should be reported to your guide immediately during the safari so we can address them promptly. If a complaint cannot be resolved on-site, please submit it in writing within 30 days of trip completion. We aim to respond to all complaints within 14 business days. Any disputes shall be governed by Ugandan law and subject to the exclusive jurisdiction of Ugandan courts.
10. Website Usage
- All content on our website is protected by copyright and may not be reproduced without permission
- Prices and information on the website are subject to change without notice
- We are not responsible for content on linked third-party websites
- The AI chat assistant provides general information only and does not constitute binding advice
- Final itineraries and prices are confirmed in writing after booking
11. Sustainability & Ethics
We are committed to responsible tourism. You agree to follow our guidelines for ethical wildlife viewing, respect local communities and cultures, minimize environmental impact, and comply with all park rules and regulations. We reserve the right to remove any participant from a tour for behavior that endangers wildlife, disrespects local customs, or violates park regulations, with no refund provided.
Important Notice
These terms and conditions, along with any written correspondence from us, constitute the entire agreement between you and Ewaffe Adventure Tours. No other representations, whether verbal or written, shall be binding unless confirmed in writing by us.
